Complete clinical management

Dental charting and digital clinical records

All the patient's information, on a single screen.

Dentasys brings together each patient's electronic clinical record, dental chart, periodontal chart, medical information, prescriptions, signed consent forms and X-rays in one patient file. The dentist sees everything without switching windows, can dictate notes by voice, and every document is signed on the practice tablet or the patient's phone, with no paper.

Patient safety

Patient safety

Avoid mistakes. When a patient file opens, Dentasys always shows the medical warning with allergies, conditions, medication and pregnancy, and prescriptions come from the practice's drug list with the dentist's signature.

  • Practice drug list, searchable by brand or active ingredient.
  • Medical warning every time a file is opened.
  • Health questionnaire the patient fills in on the tablet or their phone.

What the Dentasys clinical record holds

The patient file is the heart of the practice. The left-hand column holds its sections: personal details, periodontal chart, implants, prescriptions, documents, lab work and recalls. The dental chart sits in the centre and, below it, the «History and payments» list shows every treatment with its date, the dentist who did it, its status and what has been paid.

The medical information sits at the top right, split into tabs: allergies, conditions, health habits, medication and notes. A tab with something recorded carries a red dot, and each clinician can reorder the tabs to suit them without changing them for colleagues.

Dental chart: every tooth with its history

The dental chart uses FDI numbering and shows each treatment as it looks in the mouth: fillings and caries on their surface, crowns on the whole tooth, implants with their screw, bridges joined by a line and extractions marked with a cross. The colour tells you whether a treatment is pending, completed, done at another practice or only in a treatment plan.

Below the chart, the «History» bar takes the mouth back in time: from how the patient arrived on day one up to today, step by step. While you look at a past date nothing can be recorded, so nobody logs today's treatment against an old date by mistake. For children, the chart shows the primary or mixed dentition that matches their age.

Periodontal charting for dentists and hygienists

The periodontal chart records, tooth by tooth and on each surface, probing depth and recession at three points, bleeding, suppuration, plaque, mobility and furcation. A summary at the top shows teeth present, bleeding, plaque and maximum depth.

Each exam is saved with its date, so you can compare check-ups and see whether the gums are improving or getting worse.

Allergies and medication in view before treatment

Every time a file is opened, the «Important medical warning» appears first, with allergies, conditions, regular medication, pregnancy and the practice's notes. It always appears, even when the patient has nothing to declare: it then reads «None reported», which means the question was asked. Nobody treats a patient without reading it.

Prescriptions are written from the patient file using the practice's drug list: search for the medicine by brand name or active ingredient, enter the dose, how often, for how many days and how many packs, and add advice for the patient. The prescription carries the dentist's signature and the system records who prescribed what, and when.

Paperless consent forms and signed documents

Consent forms are generated from templates that fill themselves in with the patient's, the dentist's and the teeth's details. The patient signs with a finger on the practice tablet, which opens the document by itself with no code to scan, or from their own phone through a secure WhatsApp link. For a minor, a parent or guardian signs.

The dentist can sign there and then, or leave it until the end of the day and sign all pending documents at once with a single code. Every signed PDF carries a qualified timestamp.

X-rays, CT scans and photos in the same file

The patient's «Documents» tab stores their X-rays, reports and photos. DICOM studies such as a CT or CBCT scan are uploaded by dragging in the folder from the CD and opened in the viewer, with bone, soft-tissue and dental presets and tools to measure lengths and angles.

With the X-ray bridge, the patient opens in your imaging software straight from their file, without typing them in twice. And before-and-after cases group the photos of orthodontics, veneers or whitening by stage, ready to show the patient.

Data protection and permissions

Health data has special protection. Role-based permissions decide who can see and who can change each thing, and whatever is done in a file goes into the audit log. When a patient asks for a copy of their data, it downloads as a PDF or a spreadsheet; if it includes documents and images, the file is compressed and password-protected.

Clinical records: frequently asked questions

What practices ask us before they give up paper.

What is a digital dental clinical record?

It is the patient's electronic file: personal details, medical information, dental chart, treatments, signed documents, X-rays and prescriptions. In Dentasys it is all in the cloud on a single screen, and it can be opened from a computer, tablet or phone according to each user's permissions.

Are consent forms signed on the tablet valid?

Each document stores the patient's signature and, where needed, the dentist's, with their registration number, how they signed, the date and the time, and it carries a qualified timestamp. A signed PDF is never edited: if something changes, a new document is created.

Can I move my clinical records from my current software to Dentasys?

Yes. We migrate your patients, treatments and documents from whatever software you use. With the annual plan, migration is free.

Who can see the patient's medical information?

Only practice users with permission. Permissions are set by role (dentist, hygienist, reception…), sensitive actions have their own switch, and whatever is done in each file goes into the audit log.

Do clinical records and the dental chart cost extra?

No. Clinical records, dental chart, periodontal chart, prescriptions and consent forms are included in the €80/month + VAT fee, with no extra modules.
