What makes software cost more or less

Two products with the same headline fee can end up costing very different amounts. The difference is rarely in the advertised price, but in how it is counted and what is left out.

  • Installed or cloud. Installed software usually means a purchase licence, a server at the clinic, backups and yearly maintenance. In the cloud you pay a fee and the vendor looks after the server and backups.
  • Per user, per workstation or per practitioner. Many price lists go up with every dentist, hygienist or reception computer. Count the whole team, not just the dentists.
  • Modules. Diary and clinical records are usually in the base plan; orthodontics, digital signature, reminders, accounting, multiple sites or a patient app are sometimes extra.
  • Data migration. Moving patients, records, treatment plans and documents from your previous software can be free, fixed-price or quoted separately.
  • Voice and WhatsApp. WhatsApp reminders have a per-message cost set by Meta, and an AI phone receptionist is usually charged per line and per minute. Ask whether the vendor adds a margin.
  • Training and support. Ask whether initial training and phone or chat support are included or billed by the hour.

Hidden costs to ask about before you sign

Ask for the answers in writing, with VAT shown separately, so you can compare properly:

  • Is the price per clinic, per user or per practitioner? What happens if I hire another dentist next month?
  • Is there a set-up or installation fee? Is migrating my data fixed-price?
  • Which modules are not in the base fee, and how much is each?
  • Is there a minimum term? How much does it cost to cancel?
  • If I leave, in what format do I get my data back, and is there a charge?
  • Are WhatsApp messages and calls charged at cost or with a margin?
  • Are updates, backups and support included?
  • Does the price go up over time or at renewal?

How to compare prices fairly

Work out the three-year cost for your actual clinic: how many people will use the software, sites, the modules you need now and later, migration, training and variable spend on messages and calls. Software that is cheap per user can be expensive with eight people on the team, and a flat fee can be more expensive if you work alone and barely use it.

Also compare what does not appear on the invoice: cloud software needs no server or manual backups, and if migration is included you save weeks of work at reception.

Where Dentasys fits

Dentasys costs €80/month + VAT per clinic, or €840 + VAT a year (equivalent to €70/month) with free data migration. The fee includes unlimited users, dentists and patients, with no extra modules: diary, clinical records and odontogram, treatment plans, invoicing, consent signing, WhatsApp reminders and assistant, marketing and 300 AI credits a month. There is no minimum term.

What is charged separately, plainly: WhatsApp messages at Meta's rate with no margin, the AI phone receptionist if you switch it on (€9/month per line + €0.30 per answered minute, plus VAT) and extra AI credit packs. On the monthly plan, migration from whatever software you use costs €500 + VAT.

Frequently asked questions

How much does dental practice management software cost per month?
Among those publishing prices in October 2026, a small clinic pays roughly €27 to €130 a month for cloud software, depending on how many users or diaries it needs and which modules it takes. Large or multi-site clinics usually move to custom plans. Several well-known products do not publish prices and quote instead.
Is cloud software cheaper than installed software?
It depends on the time frame. Installed software usually needs an upfront licence, a server at the clinic and yearly maintenance; the cloud spreads the cost into a fee and removes the server and manual backups. Always compare the total three-year cost, not just the first payment.
Why do many vendors not publish their prices?
Usually because the price depends on workstations, practitioners, sites and modules, and they prefer a tailored quote. If so, ask for a written breakdown to compare it with those that do publish prices.
Which costs are usually not in the fee?
The most common are data migration, installation or set-up, extra modules, extra users or practitioners, training, WhatsApp and SMS messages and calls. Also ask about the minimum term and the cost of getting your data back if you leave.
How much does Dentasys cost?
€80/month + VAT per clinic, or €840 + VAT a year with free migration. Unlimited users, dentists and patients and no extra modules. WhatsApp messages (Meta's rate, no margin), the voice receptionist if you switch it on and extra AI credit packs are charged separately.
How much does it cost to migrate data from my current software?
Each vendor charges differently: free, fixed-price or by quote. At Dentasys, migration from whatever software you use costs €500 + VAT and is free with the annual plan.
